Google Business Profile
For most local businesses, Google is the first place customers see reviews. A verified Google Business Profile is free and lets you:
- Read and reply to reviews, with replies shown publicly under each review
- Get notified of new reviews by email or in the app
- Share a direct link that opens the review form, which you can also turn into a QR code
- Report reviews that break Google's policies and track the status of those reports
- Keep your hours, address, phone number, services and photos up to date
- Add managers so more than one person can reply, and group multiple locations
Google changes the layout of these tools from time to time, so look for the options under your profile's reviews and settings rather than relying on a fixed menu path. Verification is required before you can reply.
Other platform dashboards
Most platforms where customers leave reviews offer a free owner account. Typical features:
| Kind of platform | What the free owner tools usually include |
|---|---|
| Maps and local search | Replies, alerts, business details, photos, reporting reviews |
| Local review directories | Replies (public and sometimes private), business details, reporting; paid advertising offered separately |
| Social media business pages | Recommendations or reviews, replies, notifications |
| Industry and booking sites | Replies and profile details; review requests may be built in after a booking |
Paid upgrades on these platforms are usually advertising, not better review handling. Claiming your free profile doesn't require buying anything.
A free review kit
- Claim and verify your profiles on the platforms that matter in your industry.
- Turn on notifications for new reviews on each one, sent to a shared inbox, not one person's email.
- Create your review link and a QR code for receipts, invoices, counter cards and follow-up emails.
- Write your request message once and use it for every customer. See the compliant routine.
- Save a few reply starting points in a document, based on our example replies, and edit each one before posting.
- Keep a simple spreadsheet with the monthly numbers from review metrics that matter.
Where free tools run out
- Many platforms, many logins. Checking four dashboards a day gets skipped.
- Many locations. Comparing branches by hand takes hours each month.
- Manual requests. If staff have to remember to send each request, volume will drop on busy weeks.
- Team workflows. Approvals, assignments and audit trails are thin or missing.
If two or more of these describe you, compare the paid tool types in the feature grid. If not, the free kit is probably enough for now.
Keep at least two people as owners or managers on every profile. If the only account holder leaves the business, regaining access can take a long time.
